Privacy Policy — Fair Hours

Fair Hours is an app for Jira Cloud that turns the time your team logs in Jira into a cost report: hours by person or by issue, with overtime, weekend and night premiums, and hourly rates that change on a date. It also lets people log and correct their own time, and lets a project administrator mark a month as approved. This page explains exactly what the app stores, where it stores it, and who can read it.

The short version

The app keeps no copy of your timesheets and no names of your people. The hours live in Jira, where they already were; the app reads them at the moment a screen is drawn, prices them, shows the result and forgets it. What it writes down is your rate settings and a small record for each month you approved — and both hold account codes, never names.

What the app stores

Two things, both held in Atlassian's own storage for your Jira site:

• Your settings. The currency, what counts as a standard day, the overtime, weekend and night multipliers and the night window; the company hourly rate with its dates; the hourly rate of each team, held against the Jira group's own ID, with the group name mirrored so the screen can show it, plus the order you put the teams in; and the hourly rate of an individual, held against that person's Atlassian account ID with the date it applies from.
• An approval record for each month you closed, one per project and month: when it was approved and the account ID of whoever approved it, the total hours and cost at that moment, and one line per contributor holding an account ID, their hours and their cost. This is what lets the app tell you later that Jira has moved on since the approval.

What the app never stores

• No names of people. Every name you see on screen is fetched from Jira at that moment and thrown away when you leave the page. What is written down is the account code Jira itself uses. (The name of a team is stored, because a group is not a person — and even then the group's ID stays the key, so renaming a group in Jira never loses its rate.)
• No email addresses, phone numbers or profile pictures.
• No copy of your work. Issue titles, worklog descriptions, comments and attachments are read live to draw a screen and are never written to the app's storage.
• No passwords, tokens or payment details. The app never asks you for a credential of any kind.
• No analytics, no tracking, no cookies of our own.

What the app writes into Jira

One thing: worklog entries — logging time, correcting it, deleting it. Three rules are built in and are worth reading before you buy:

• Time is always logged as the person using the app, never in the app's own name. That is what keeps Jira's own search, reports and history working, and what makes the record yours rather than ours. Uninstall the app tomorrow and every hour it wrote is still there, indistinguishable from time logged in Jira by hand.
• The app never touches the remaining estimate of an issue. Jira would normally subtract logged time from it; Fair Hours explicitly leaves it alone, because planning numbers belong to the team, not to a cost tool.
• It writes nothing else: no issues, no comments, no fields, no statuses.

Where the data lives

Everything stays inside Atlassian Forge storage, in the Atlassian cloud region of your own Jira site. The app is built on Forge and declares no external network access at all, which means the platform physically prevents it from sending anything anywhere. Who can see what

• The app runs as the person using it. If Jira would not let you see a project or edit a worklog on your own, the app cannot do it for you either.
• Money is hidden from people who are not Jira administrators. They see the hours, and they see that a line was a weekend or overtime, but no rate and no cost — and this is enforced on the server, which sends the answer without any money in it, not by hiding a column on screen. A short note explains why the money is missing, so it does not look broken.
• Changing rates and settings requires Jira administrator rights. Approving or reopening a month requires being an administrator of that project.
• The app's developer cannot see your data. There is no dashboard, no export and no back door that would allow it.

Keeping and deleting data

You do not have to ask us to delete anything. Everything the app stores can be removed from its own screens by a Jira administrator, and it takes effect immediately:

• a person's own hourly rate — remove each dated rate in Settings → People; when the last one goes, that person is gone from the app's storage entirely;
• a team's rate — remove it in Settings → Teams;
• a month's approval record, with its per-person lines — press Reopen this month, which deletes the record rather than marking it cancelled.

Uninstalling the app also works: Atlassian deletes the app's storage for your site as part of its normal uninstall process. Time that was logged into Jira stays in Jira — that is your own record in your own Jira, not data of ours.

When an Atlassian account is closed

Once a week, on its own, the app tells Atlassian which account IDs it still holds — the people who have their own hourly rate, and the people who appear in a month that was approved — and asks whether any of those accounts have been closed. When one has, the app erases that ID: the person's rate record goes, and in an approved month their line stays but stops carrying any ID.

What the erasure never touches is the money. The hours and the cost of an approved month stay exactly as they were approved. A total that a manager signed off cannot change by itself months later because somebody left the company, and a company cannot lose the record of its own cost that way.

Nothing on any screen starts this, and no administrator has to remember it. It runs whether anyone is watching or not.

Your rights

If you are in the European Union or the United Kingdom, the GDPR gives you the right to access, correct, export or delete your personal data. The company that installed the app is the data controller. In practice the app holds no personal profile data about you at all — only account identifiers inside your own company's rate settings and month approvals — so the quickest route for any request is your own Jira administrator, who can delete those records from the app's screen in seconds. For your legal team, the Data Processing Agreement sets out the same facts in the form the GDPR asks for (Article 28), and applies automatically from installation.

Changes

If this policy changes, the date at the top changes with it and the new version is published here before it takes effect.
